Terms of Service

Updated October 30, 2026. These terms apply to everyone who uses CoAgora: the syndicate that opens a workspace and the members it invites.

The service

CoAgora is software for condominium syndicates. It keeps the syndicate’s financial records, documents, meetings, notices, legal obligations, maintenance and property issues in a shared workspace, with an assistant that answers from those records. Optional connections read a bank account (through Plaid) or a Gmail mailbox (read-only).

CoAgora is currently offered as a pilot to invited syndicates. Features may change, and the service may be interrupted for maintenance or updates.

Accounts and access

  • Access is by invitation from a workspace administrator. Each person uses their own account.
  • You must confirm your email address before you can open a workspace.
  • Administrators must protect their account with an authenticator app before they can change anything. Keep your password and authenticator to yourself and tell your administrator if you think your account was used by someone else.
  • Your role (administrator, board member or read-only member) decides what you may see and change. The syndicate’s administrators manage roles and can remove access.

The syndicate’s records

The records in a workspace belong to the syndicate. CoAgora stores and processes them only to provide the service to that syndicate, as described in the privacy notice. Workspaces are kept separate; one syndicate’s records are never shown to another.

The syndicate remains responsible for its own books, decisions and legal filings, and for checking what it records in CoAgora. The software helps keep those records; it does not replace the syndicate’s accountant, lawyer or other professional advice.

Suggestions need your confirmation

The assistant, mailbox reading and bank matching produce suggestions that may be incomplete or mistaken. Nothing they propose is saved until a member with the right role reviews and confirms it. Check each suggestion before you confirm it.

Connected services

Connecting a bank feed, a Gmail mailbox or the assistant is optional. Each connection also follows the terms of its provider (Plaid, Google, and the AI provider named in Settings). An administrator can disconnect a service at any time; the privacy notice explains what is deleted when they do.

Acceptable use

  • Use CoAgora only for the syndicates you are a member of, and only within your role.
  • Do not try to reach another syndicate’s workspace, test the service’s security without permission, or interfere with its operation.
  • Do not upload content you have no right to share, or content that is unlawful.

Changes and contact

These terms may be updated as the service changes; the date above shows the latest version. Significant changes are announced to workspace administrators before they take effect. These terms are governed by the laws of Québec and the federal laws of Canada that apply there.

For questions about your access or your syndicate’s records, contact your syndicate’s administrator. For privacy requests, see the contact in the privacy notice.
